Annual General Membership Meeting
Capital Restaurant, Casselton, ND
April 26, 2008 - 10:00AM
Merrill Braaten, President called the meeting to order at 10:00 AM.
Roll Call was taken by the secretary. All members were present except Insurance Chairman Ruth Michaelson, and North East District Directors Tom & Marlene Miller.
All clubs had representation except Town & Country Dancers of Harvey/Martin.
The minutes were handed out prior to the beginning of the meeting to membership present. Marlan Sorenson made a motion to dispense with the reading of the minutes and accept them as printed out. Art Bakken second the motion. Motion passed.
The Treasurer’s Report was given by Clayton & Gloria Brennan. Club dues received for the year was $250.00. The current balance is $3320.54. Complete report is attached. There was discussion that the report should be for the fiscal year starting June 1, 2007 to present plus there should be a final report at the end of the year that should reflect the entire year. A motion was made by Rosie Vanek to accept the treasurers’ report as submitted. Second by Carol Kennedy. Motion carried.
The Historian Report was given by Tammie Hughes. Tammie hopes you have had a chance to see all or part of the slide show. It will be running all day again today, if you haven’t. She is looking for any memorabilia you would like to share. You can send it by mail or email. If you send her something you would like back, please let her know. Tammie has a scanner, or can get copies another way, and then send your items back. Anything you can share would be great whether it’s stories, pictures, videos, etc.
The Insurance Report sent in by Ruth Michaelson as read by the secretary. This year Ruth has enrolled 4 clubs with a total of 98 dancers. The insurance premium continues to be $4.10 per person. The minimum for any club is $45.00 Clubs must remember that any time they are sponsoring a convention, whether it be state or international be sure to list that location on your form when you sign up for insurance in addition to your regular dance sites. As of now Ruth is resigning this position. She will be happy to help the next person as much as she can.
The Prairie Squares Report was given by Ray Hall. Ray appreciates the suggestions that he has received and would welcome more. Email or call if there are things that you would like to see on the web site. Ray would like to encourage clubs that don’t do there own web pages to get their schedules to Ray as soon as possible.
The 2008 Convention Report was given by Rita Lizakowski. The 2008 North Dakota State Square and Round Dance Convention has gotten off to a wonderful start. We had a total of 144 pre-registrations and 14 walk-ins as of Saturday morning for a total of 155 registered. Everything is going well except for the heat problem in the mainstream hall which unfortunately cannot be rectified. There were two couples at the dance last night that used to dance with the Galesburg Club many years back. They came early and stayed late as they enjoyed visiting with all the former dancers.
The 2009 Convention was given by Vernon Laning. The 2009 State Square and Round Dance Convention is scheduled for April 24 & 25, 2009 at the Bismarck, ND Amvets Club with clogging to be held at the Burleigh County Senior citizens Center. The theme is “Circle To a Line in 2009”. We will be putting on a demonstration Saturday evening April 26, 2008 at the Casselton Convention to promote the 2009 convention and will sell advance registration immediately following the demonstration. The advance registration cost will be $60.00 per couple.

Bernadette McNeil made a motion that we accept the new board for the 2008-2009 year as listed. Rosie Vanek second the motion. Motion carried.

New Business:
Election of Insurance Chairman: Mark & Bina Krebsbach volunteered for the Insurance chair position and were unanimously elected.
2010 Convention Bid: Per the new rotation schedule, the next location for the convention should be the Northwest District which includes the Souris Valley Dancers and Town and Country Dancers. It was indicated that they would take it up at their next meeting.
Marlan Sorenson made a motion to give the power to the incoming board to accept any bids that may come in for the 2010 Convention. Carol Currie second the motion. Motion carried.
Delegate to National Convention: Allan & Carol Currie are planning to attend the national convention and volunteered to be the delegates for the convention.
2006-2007 Treasurers Report: Marlan Sorenson reported that when he received the President Elect book that it had not been updated since 2002. In reviewing the information that had been provided for the past year, Marlan indicated that there should be supporting documentation for the 2007 convention for the financial report from the convention. The state treasurers’ report should be broken down with income and expenses and should run from June 1st through May 31st. The bylaws state that there should be an audit performed annually before the books are transferred on to the new board. Marlan Sorenson made a motion that an audit committee be put together including Mike Cleary and Ray Hall to do an audit for the 2006-2007 year. Vernon Laning second the motion. Curt Vanek amended the motion to have Curt Vanek and Bernadette McNeil do the audit later if the Mike and Ray cannot find a time to do the audit. Motion second by Allan Currie. Amended motion passed.
Callers Convention/Callers Report: Larry Pfennig, representing the callers association, announced that the ND Callers & Cuers Convention will be held Saturday, October 25 and they are bringing in Daryl Clendenin from Portland, Oregon. It will be held at the Senior Center with Days Inn as the convention hotel. Support the caller’s convention to help keep the calling alive.
Election of District Directors:
The districts met individually and the two newly elected district directors are as follows:
SW District – Art & Judi Bakken
SE District – Curt & Rosella Vanek
Marlan Sorenson made a motion to take Ray Hall off the audit committee and put John Walch on as auditor instead. Art Bakken second the motion. Motion carried.
Announcements:
The program will be starting at 7PM this evening and the new state officers and the callers will have reserved seating in the chairs.
Caller’s Convention on October 25th at the Bismarck Senior Center featuring Daryl Clendenin from Portland, Oregon.
The Bismarck Plus club will now be holding their dances at the VFW Hall in Bismarck and not at the Senior Center anymore.

Carlyle Hillstrom. Meeting adjourned.
